1. Introduction

Welcome to eCampusBuddy.

These Terms of Service ("Terms") govern your access to and use of the eCampusBuddy website, web application, mobile applications, and related services (collectively, the "Platform").

By accessing or using the Platform, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree with these Terms, you must discontinue use of the Platform.

Where the Platform is provided through an educational institution, your use is also subject to the policies, procedures, and rules established by that institution.

2. About eCampusBuddy

eCampusBuddy is an integrated education management platform designed to support educational institutions in managing academic, administrative, operational, and financial activities through a secure and centralized digital environment.

The Platform includes modules such as:

  • Student Information System (SIS)
  • Learning Management System (LMS)
  • Customer Relationship Management (CRM)
  • Accounting and Finance
  • Payroll Management
  • Procurement
  • Inventory Management
  • Hostel Management
  • Transportation Management
  • Reporting and Analytics
  • Administrative Services

Additional modules and services may be introduced from time to time.

3. Acceptance of the Terms

By creating an account, accessing the Platform, or using any of its features, you agree to comply with these Terms and all applicable laws and regulations.

If you are using the Platform on behalf of an educational institution or organization, you represent that you have the authority to bind that organization to these Terms.

If you are under the age required by applicable law to enter into a binding agreement, your use of the Platform must be authorized by your parent, legal guardian, or educational institution.

4. Eligibility

You may use the Platform only if:

  • You are authorized by your educational institution or organization.
  • You provide accurate and complete registration information.
  • You comply with these Terms and applicable laws.
  • Your account has not been suspended or terminated.

The Platform is intended solely for legitimate educational, administrative, operational, and business purposes.

5. User Accounts

Access to the Platform requires an authorized account.

You are responsible for:

  • Maintaining the confidentiality of your login credentials.
  • Ensuring that information associated with your account remains accurate and up to date.
  • Restricting unauthorized access to your account.
  • Promptly notifying your Institution or eCampusBuddy if you suspect unauthorized access or misuse.

You are responsible for all activities performed using your account unless you have reported unauthorized access.

eCampusBuddy reserves the right to suspend or disable accounts where security risks, misuse, or violations of these Terms are identified.

6. Acceptable Use

Users must use the Platform responsibly, ethically, and only for authorized purposes.

You agree not to:

  • Use the Platform for unlawful or fraudulent activities.
  • Attempt unauthorized access to systems, accounts, or data.
  • Share login credentials with unauthorized individuals.
  • Upload malicious software, ransomware, viruses, or harmful code.
  • Interfere with the operation, availability, or security of the Platform.
  • Circumvent security controls or access restrictions.
  • Copy, reverse engineer, modify, or exploit the Platform except where permitted by applicable law.
  • Upload content that infringes intellectual property rights or violates applicable laws.
  • Use automated tools, bots, or scripts that negatively affect Platform performance.
  • Attempt to access information belonging to other users without authorization.

Violation of these Terms may result in suspension or termination of access and, where appropriate, legal action.

7. Roles and Responsibilities

Different users are granted access based on their assigned roles.

Examples include:

  • Students
  • Parents or Guardians
  • Faculty Members
  • Administrative Staff
  • Finance Teams
  • Human Resources
  • Hostel Administrators
  • Transport Coordinators
  • System Administrators
  • Institutional Management

Access permissions are determined by the educational institution using Role-Based Access Control (RBAC). Users may access only the information necessary for their assigned responsibilities.

Users must not attempt to access information or functions beyond their authorized permissions.

8. User Content

Users may upload or create information through the Platform, including assignments, documents, announcements, reports, communications, and other educational or administrative content.

You retain ownership of any content that you are legally entitled to own.

By submitting content through the Platform, you grant eCampusBuddy and the applicable educational institution the rights necessary to store, process, display, transmit, and manage that content solely for providing the services.

Users are responsible for ensuring that uploaded content:

  • Is accurate and lawful.
  • Does not infringe the rights of others.
  • Does not contain malicious software.
  • Complies with institutional policies and applicable laws.

eCampusBuddy reserves the right to remove content that violates these Terms or applicable legal requirements.

9. Intellectual Property

The Platform, including its software, user interface, designs, logos, trademarks, graphics, documentation, text, and other content, is owned by or licensed to eCampusBuddy and is protected by applicable intellectual property laws.

Except as expressly permitted under these Terms, users may not:

  • Copy, reproduce, modify, distribute, or commercially exploit any part of the Platform.
  • Reverse engineer, decompile, or attempt to extract the source code of the Platform, except where permitted by applicable law.
  • Remove or alter copyright, trademark, or proprietary notices.
  • Use the eCampusBuddy name, logo, or branding without prior written permission.

Nothing in these Terms transfers ownership of the Platform or its intellectual property to users.

10. Privacy and Data Protection

Your privacy is important to us. The collection, use, storage, and protection of personal information are governed by our Privacy Policy and Cookie Policy, which form part of these Terms.

By using the Platform, you acknowledge that your information may be processed as described in those policies.

Educational institutions using eCampusBuddy are responsible for ensuring that they have the necessary authority to provide personal information to the Platform and to manage such information in accordance with applicable laws.

11. Service Availability

We strive to provide a reliable and secure Platform. However, uninterrupted or error-free operation cannot be guaranteed.

The Platform may occasionally be unavailable due to:

  • Scheduled maintenance
  • Security updates
  • Infrastructure upgrades
  • Technical issues
  • Network or internet outages
  • Events beyond our reasonable control

Where practicable, we will provide advance notice of planned maintenance that may affect service availability.

12. Third-Party Services

The Platform may integrate with third-party products or services, including cloud providers, payment gateways, communication platforms, authentication services, analytics tools, or other software necessary to deliver certain features.

These third-party services are governed by their own terms and privacy policies. eCampusBuddy is not responsible for the content, availability, or practices of third-party services.

Users are encouraged to review the applicable terms and policies of any third-party services they use through the Platform.

13. Payments and Fees

Certain features or services may require payment under a separate agreement between eCampusBuddy and the educational institution.

Where applicable:

  • Fees will be governed by the applicable commercial agreement.
  • Payment obligations remain the responsibility of the contracting institution unless otherwise specified.
  • Failure to meet payment obligations may result in suspension of certain services, subject to contractual terms.

Students and individual users should contact their educational institution regarding fees associated with institutional services.

14. Software Updates and Improvements

To improve functionality, security, and performance, eCampusBuddy may periodically release updates, enhancements, bug fixes, or new features.

These updates may be applied automatically or may require scheduled maintenance.

We reserve the right to modify, improve, or discontinue certain features where necessary, provided such changes do not materially affect contracted services without appropriate notice.

15. Suspension or Termination

eCampusBuddy or the educational institution may suspend or terminate access to the Platform where:

  • These Terms are violated.
  • Unauthorized or fraudulent activity is detected.
  • The security of the Platform or other users is at risk.
  • Required payments remain outstanding under applicable agreements.
  • Access is revoked by the educational institution.
  • Continued access would violate applicable law or regulatory requirements.

Where appropriate, users will be informed of the reason for suspension or termination.

Termination of access does not relieve users or institutions of obligations that, by their nature, survive termination, including obligations relating to confidentiality, intellectual property, and applicable legal requirements.

16. Disclaimer of Warranties

The Platform is provided on an "as available" and "as is" basis.

While eCampusBuddy takes reasonable steps to provide accurate, secure, and reliable services, we do not guarantee that:

  • The Platform will operate without interruption or error.
  • Every defect will be corrected immediately.
  • The Platform will always be free from vulnerabilities or malicious attacks.
  • Information provided through the Platform will always be complete or suitable for every purpose.

Users remain responsible for verifying information where appropriate and for using the Platform in accordance with institutional policies.

17. Limitation of Liability

To the fullest extent permitted by applicable law, eCampusBuddy, its affiliates, employees, officers, directors, partners, and licensors shall not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages arising from or relating to the use of, or inability to use, the Platform.

This includes, but is not limited to:

  • Loss of data
  • Loss of revenue or profits
  • Business interruption
  • Loss of goodwill
  • Unauthorized access caused by factors beyond our reasonable control
  • Errors or omissions in user-provided information

Nothing in these Terms limits liability where such limitation is prohibited by applicable law.

18. Indemnification

You agree to indemnify and hold harmless eCampusBuddy, its affiliates, employees, officers, directors, and partners from any claims, losses, damages, liabilities, costs, or expenses arising from:

  • Your violation of these Terms.
  • Your misuse of the Platform.
  • Your infringement of the rights of another person or organization.
  • Content submitted or uploaded by you that violates applicable laws or third-party rights.

This obligation survives the termination of your use of the Platform.

19. Force Majeure

eCampusBuddy shall not be liable for any delay or failure to perform its obligations where such delay or failure results from events beyond its reasonable control.

These events may include:

  • Natural disasters
  • Fire or flood
  • War or civil unrest
  • Acts of terrorism
  • Government actions or restrictions
  • Pandemic or public health emergencies
  • Power failures
  • Internet or telecommunications outages
  • Cyberattacks affecting third-party infrastructure
  • Labour disputes or other unforeseen events

We will make reasonable efforts to restore services as quickly as practicable following such events.

20. Governing Law

These Terms shall be governed by and construed in accordance with the laws applicable to the jurisdiction in which eCampusBuddy operates, unless otherwise required by applicable law or a separate agreement with the educational institution.

Where services are provided across multiple jurisdictions, local laws relating to privacy, education, taxation, or consumer protection may also apply.

21. Dispute Resolution

We encourage users to first contact eCampusBuddy or their educational institution to resolve any concerns informally.

If a dispute cannot be resolved through good-faith discussions, it shall be resolved in accordance with the applicable laws and dispute resolution procedures specified in the agreement between eCampusBuddy and the educational institution or as required by law.

Nothing in these Terms limits the right of either party to seek appropriate legal or equitable remedies where permitted by applicable law.

22. Changes to These Terms

We may update these Terms from time to time to reflect changes in our services, legal requirements, security practices, or business operations.

When significant changes are made, we will update the "Last Updated" date and, where appropriate, notify users through the Platform, email, or other suitable communication channels.

Your continued use of the Platform after such changes become effective constitutes acceptance of the revised Terms.

23. Miscellaneous

Entire Agreement

These Terms, together with our Privacy Policy, Cookie Policy, and any applicable agreements between eCampusBuddy and the educational institution, constitute the entire agreement governing the use of the Platform.

Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.

Waiver

Failure by eCampusBuddy to enforce any provision of these Terms shall not constitute a waiver of that provision or any other rights.

Assignment

Users may not assign or transfer their rights or obligations under these Terms without prior written consent from eCampusBuddy. eCampusBuddy may assign its rights and obligations as part of a merger, acquisition, corporate restructuring, or transfer of business operations.

25. Acknowledgement

By accessing or using eCampusBuddy, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service, together with our Privacy Policy and Cookie Policy. If you do not agree with these Terms, you should discontinue use of the Platform.
